This guide covers the most common voicemail problems and how to fix them. Almost everything below lives in one place: open Voicemail and click Mailbox settings.
Common problems at a glance
| Problem | Where to look |
|---|---|
| Messages are not being recorded | Confirm Voicemail on |
| No email when someone leaves a message | Check Email notifications and your spam folder |
| You cannot get into your mailbox | Set a new voicemail PIN |
| No written version of the message | Turn on Transcribe messages |
| The wrong greeting plays | Check the Temporary greeting switch |
Messages are not being recorded
- Open Voicemail → Mailbox settings and make sure Voicemail on is switched on.
- Leave yourself a test message: call your number from another phone, let it go to voicemail, and speak.
- Check whether the message appears in Voicemail in the portal.
If a caller never reaches voicemail at all, the call may be going somewhere else first - see Incoming Calls Aren't Reaching You.
You are not getting notified
- Open Voicemail → Mailbox settings and check Email notifications: the switch with your name, and any extra address under Also email.
- Check your spam or junk folder.
- Add noreply@reliaring.com to your contacts so future messages land in your inbox.
Attach the recording on the same card decides whether the audio file comes with the email; the transcription is always included when there is one.
You cannot access your mailbox
- From the portal: open Voicemail in the menu and click any message to play it - no PIN needed while you are signed in.
- From a phone: dial
*97from your own extension - no PIN needed. From another phone, dial*98, then your extension number and your PIN. - Forgot your PIN? Ask an administrator: they can set a new one for your mailbox without the old PIN (Phone System → Voicemail Boxes → Manage).
No transcription
Turn on Transcribe messages under Voicemail → Mailbox settings → Options (it is on by default where your plan includes transcription). New messages will then include a written version. Keep in mind that very short messages, background noise, or strong accents can lower transcription accuracy.
The wrong greeting plays
Under Voicemail → Mailbox settings → Greetings you can type or upload greetings for different situations: No answer, Busy, and a Temporary greeting (for example for a vacation) that replaces the others while its switch is on. If no greeting is set, callers hear a standard greeting.
